1. Written product specification

Confirm the product format, full ingredient list, ingredient amounts, flavor, color, net content, serving size, number of servings and storage conditions. A marketing name or reference photo is not a complete production specification.

2. Packaging and label requirements

List every packaging component: bottle or pouch, closure, dropper or scoop, induction seal, label, carton, insert and shipping protection. Confirm dimensions before artwork approval and identify which components are stock and which are customized.

3. MOQ and quotation scope

Verify the MOQ for the complete configuration. Formula production, printed cartons and special packaging can have different minimum quantities. The quotation should state whether it includes samples, printing, tooling, testing, export documents and freight.

4. Sample approval

Record which sample is approved and what it represents. Check appearance, flavor, aroma, texture, fill presentation, package function and label fit. If any element will differ in production, document that difference before the order is confirmed.

5. COA and batch documentation

Confirm which specifications, COA, batch records or other documents are available for the selected product. Document requirements should match the actual formula, production batch and destination market rather than a generic sample file.

6. Production lead time and approval point

Define when the lead-time clock begins. For many projects it starts only after deposit, formula confirmation, packaging availability and artwork approval. Separate production time from international transit time.

7. Export and shipping details

Confirm the consignee information, destination, shipping term, carton quantity, gross weight, labels, commercial invoice requirements and any product-specific transport considerations.
